We facilitate three structured working sessions across 3–4 weeks. Between sessions, we synthesise inputs, prepare drafts, and resolve outstanding questions, so that each session begins with materials ready for your review rather than for joint construction from scratch.

Engine Alignment & Campaign Priorities

We review strategic priorities, complete the Engine Builder Canvas across Brand, Growth, and CX, identify engine gaps or misalignment, and select one to two priority offers for the quarter. This session also defines what is explicitly out of scope, preventing scope creep before execution begins and establishing shared expectations on campaign volume.

Campaign Design Working Session

For each selected campaign, we complete a Campaign Builder Canvas, defining goal, offer, audience, core message, channel selection, CX considerations, required content assets, CTA, and success signals. Strategy becomes campaign-ready here. Execution details are noted but not actioned, that belongs to the Workstream Engine in the phase that follows.

Campaign Calendar & Readiness Review

All campaigns are mapped into the 90-Day Planner with launch windows, promotion pacing, and identified dependencies. Each campaign then passes through the Readiness Checklist, five required sections covering engine alignment, campaign clarity, scope, capacity, and measurement readiness. Campaigns that do not clear all five gates do not proceed to execution. No exceptions.

Do we need to have the Workstream Engine installed before we can set up the AI Marketing Hub? 

The AI Marketing Hub is Step 4 of the Marketing Operating System. Steps 1, 2, and 3, Strategy First™, the Workstream Engine, and Campaign Building, must all be in place before the AI Marketing Hub delivers its full value. This sequencing is deliberate: AI is most useful when it supports execution work that already has a defined owner, a documented cadence, and an agreed output standard. Without the Workstream Engine in place, AI-generated content has no reliable workflow to enter. Without Strategy First™, there are no positioning guidelines for AI to work from. And without Campaign Building, there is no quarterly priority framework to determine what AI should be producing in the first place.

Which AI tools does the hub use?

The AI Marketing Hub is tool-agnostic by design. We select the AI platform or platforms that best fit the business's existing tech stack, team familiarity, and data governance requirements, rather than imposing a preferred tool. What matters is the workflow design and governance framework around the tool, not the tool itself. The same playbook structure and review rules apply regardless of whether the business uses ChatGPT, Claude, Gemini, or a purpose-built content platform. New tools can be evaluated and added to the playbook library through the Optimisation Loop, following the same intake and governance process as the original set.

How do we prevent AI from drifting away from our brand voice over time?

Brand drift is addressed at two levels. First, at the input level: every AI playbook specifies that the brand voice guidelines, positioning statement, and messaging framework from Strategy First™ are provided as context before any output is generated, so the AI is working from the approved foundation, not generating from scratch. Second, at the governance level: the AI Quality and Governance Checklist includes a brand and voice protection section that is reviewed quarterly through the Optimisation Loop. Where drift is detected, the playbook inputs are updated, and review steps are strengthened until alignment is restored. If AI usage expands into new areas, the governance checklist is reapplied in full before the new workflow is approved.

What happens when a team member tries to use AI for something outside the approved playbooks? 

The AI Work Intake and Triage Rules define exactly how this is handled. Requests that fall outside approved playbooks are sorted into one of four categories: approved workflows (proceed using the defined process), candidates for a new playbook (capture for evaluation, do not implement immediately), human-owned work where AI should only provide minor support, or out-of-scope requests that are declined with a clear explanation. We maintain a standard set of language for these situations, so the team receives consistent and constructive responses rather than ad-hoc judgements. New playbook candidates are evaluated at the next Momentum Meeting and, if approved, added to the library with full governance documentation before use begins.

Can AI communicate directly with our clients or prospects?

No, and this is a firm governance boundary, not a recommendation. All AI-generated content that is customer-facing, emails, onboarding messages, follow-up communications, social posts, published articles, requires human review and approval before it is sent or published. AI assists with drafting; humans own the decision to send. This boundary is documented in the AI Usage Guidelines, enforced through the playbook review steps, and confirmed during team enablement. The only exception would be a fully automated system that has been specifically scoped, reviewed, and approved as a standalone playbook, which is an uncommon and carefully governed scenario, not a default.

How does the AI Marketing Hub connect to the rest of the Marketing Operating System?

The AI Marketing Hub is a support layer within the existing system rather than an independent module. AI-supported workflows map directly to the workstreams installed in Step 2, each playbook specifies which workstream it belongs to and which workstream owner is accountable for its outputs. Performance insights from AI-assisted reporting feed into Scorecard & Signals (Step 5), providing the decision data that informs Momentum Meeting discussions (Step 6). The AI Playbook Library is reviewed and updated through the Optimisation Loops (Step 7) at the end of each 90-day cycle, so the AI support layer improves in step with the rest of the system, rather than staying static while the business evolves.
